2. Permitted use and parking

The venue may be used only for the agreed purpose. Subletting, unlawful or unsafe activities and anything invalidating insurance are prohibited. Alcohol requires prior written permission. The car park is for parking only; children must not play there. Only two parking spaces are available for the host, by prior arrangement. Guests must not use these spaces.

3. Hire times and access

Normal availability is 8:00am–8:00pm, subject to bookings; exceptions may be agreed. Up to 30 minutes before and after hire for setup/cleaning may be granted at management’s discretion. Otherwise, all setup and clearing must fall within the booked period.

4. Decorations and alterations

No nails, pins, permanent fixings, alterations or installed fixtures without prior written consent. Blu-tack or equivalent may be used. All decorations, posters and piñatas must be removed. Confetti balloons must be popped inside a bag, with no confetti or residue left on the flooring. All surfaces must be left clean. Approved fixtures may remain the venue’s property; the Hirer must repair removal damage.

5. Licensing and lawful activities

The venue holds The Music Licence. The Hirer must obtain any additional licences and comply with applicable rules for gaming, betting, lotteries, films (including age ratings and copyright), trading and advertising. Goods sold must have clear prices and organiser details; discounts must comply with fair-trading rules. Unauthorised fly-posting is prohibited.

6. Fire, safety and equipment

The Hirer must follow venue health-and-safety policies, fire risk assessment and relevant authority requirements; familiarise themselves with evacuation procedures and equipment; check exits, signs and hazards before activities; and keep escape routes clear and emergency lighting operating. Call the Fire Brigade for any fire and inform management. Brought-in electrical equipment must be safe; use provided residual-current protection.

Food preparation and service must meet hygiene and temperature-control requirements; a refrigerator is available. Highly flammable substances, combustible decorations without approval, decorations near lights/heaters, naked flames, indoor fireworks and chafing dishes are prohibited. No smoking. Relevant safeguarding policies and DBS evidence must be supplied on request; concerns must be reported to management. Report injuries and equipment failures promptly and complete the accident book; report notifiable incidents under RIDDOR where required (HSE: www.hse.gov.uk; 0345 300 9923).

10. Insurance and liability

The Hirer is responsible for damage, loss, injury and third-party nuisance arising from the hire and must indemnify the venue and its personnel to the extent stated in the full agreement, including applicable insurance excesses and uninsured amounts. Where the venue does not provide relevant cover, the Hirer must obtain adequate insurance and provide proof on request; failure may void the booking. The venue maintains cover for its own negligence.

11. Cancellation

At least two weeks’ notice is required for consideration of a refund, excluding the deposit; cancellation within one week is non-refundable. Other refunds depend on whether a replacement booking is secured and management discretion. The venue may cancel for elections, legal/licensing concerns, unsuitable use, unfitness of premises or emergencies. In such cases deposits are refunded, but consequential losses are not covered.

12. End of hire, waste and belongings

Leave the venue and surrounding area clean, tidy, secured and with furniture replaced, or additional charges may apply. Bag and tie waste and place it in the rear wheelie bin; take large quantities away. A maximum of two black rubbish bags may be placed in the venue bin; each additional bag incurs a £3 charge. Large quantities of waste must be taken away. Helium canisters must not be left at the venue; a £30 disposal fee applies to any left behind. Remove belongings at the end of hire; remaining items may incur daily hire-rate charges and, after applicable notice/storage periods, be disposed of at the Hirer’s expense. The venue accepts no responsibility for stored property.

13. Keys, noise and rights

Keys must not be copied or shared; report loss immediately and pay replacement or lock-change costs. Minimise arrival/departure noise and obtain permission for amplification; comply with noise limits. The agreement grants temporary permission to use the venue only and creates no tenancy or occupancy rights.
